As a services industry firm operating at a large scale, hiring the right talent is critical—but OneDigital’s high-touch hiring process was becoming a bottleneck. With over 90,000 distinct candidates entering the pipeline every year, recruiters were stuck performing manual administrative tasks and scheduling interviews instead of identifying top talent. 

To streamline their processes, OneDigital implemented Workday Recruiting and Workday Paradox Candidate Experience Agent. Now OneDigital’s application process moves faster without sacrificing the human touchpoints that gave their hiring a competitive edge. Instead of creating a login to apply, applicants now just talk to Olivia, OneDigital’s AI agent. Olivia can view uploaded resumes then determine if candidates are qualified with just a few additional messages. And candidate information is immediately synced with Workday Recruiting. 

“From a scale perspective, if you’re interviewing 30 people for a role, we’ve taken that number from 300 minutes spent on a req to just one or two minutes,” said Bruce. “It’s a radical reduction in effort spent.”

OneDigital also leverages HiredScore to immediately surface top talent who match open opportunities. This means OneDigital’s recruiters spend less time reviewing resumes and more time interviewing.

The combination of Workday, Paradox, and HiredScore has made OneDigital’s hiring process simpler for both candidates and the talent team. OneDigital has been able to repurpose recruiters’ time into identifying the best candidates, but it has also cut 98% of all other expenses from the interview scheduling process. Further time savings came from automating manual new-hire background checks—a process estimated to save OneDigital about $50,000 a year in internal time saving costs.

OneDigital also leverages Workday Compensation for merit cycles and performance reviews, which were previously time-consuming and spreadsheet-based. Workday Compensation “was crucial to our success, and ultimately everybody loved it,” noted Bruce.

Employees also use Workday Everywhere to access tasks, insights, and collaboration tools from their preferred digital workspace, allowing them to quickly request time off and provide feedback from a personalized dashboard. Utilizing the Workday platforms means OneDigital can focus on strategic activities.
