McKesson Corporation, a global healthcare company, needed a way for employees to quickly search repositories of contracts for the information and data points their clients were looking for. Exploring opportunities.

For Emily Flaugher, senior director, Payer Engagement, the primary goal for the team was to digitize and streamline their contract management process to better track and quantify the benefits of their work, both internally and to the thousands of customers McKesson serves across the U.S.

Flaugher’s team specifically supports small-chain and medium-sized pharmacies, often “mom and pop shops,” and one of their primary core services is contracting. The team’s previous processes were quite antiquated, relying on spreadsheets, emails, and even physical copies. “We were in an office environment and doing a lot of things via spreadsheets and emails and physical copies, if you can believe it or not, tracking down throughout, in between meetings, the person I needed to sign a contract,” Flaugher explains.

This manual approach became a significant challenge, especially when the team transitioned to remote work during the pandemic, highlighting a desperate need for a better way to track and manage their work for business continuity.

Flaugher and team started looking at different contract lifecycle management solutions, hoping to find a centralized system that would allow employees to quickly search their storehouse of contracts for the information and data points their clients were looking for.

Honing in on the right technology.

After attending a product demo, Flaugher’s team knew they had found the right contract management solution.

Workday Contract Intelligence and Workday Contract Lifecycle Management, both powered by Evisort AI, “were visually appealing and really easy to use,” Flaugher says.

Flaugher and the McKesson team were particularly impressed by how quickly Workday Contract Intelligence, powered by Evisort AI, could scan their repository of contracts and turn the documents into usable, mineable data. They also loved how the platform could track inputs and outputs and automate workflows.

Flaugher highlights that some of their biggest savings came from the document repository piece. In their previous world, contracts were saved electronically but searching was limited to file names. “Unless you’re opening up each individual document and seeing if this phrase or this paragraph is included, it’s very cumbersome work," Flaugher states.

The prospect of using Evisort AI was particularly exciting for Flaugher’s team, allowing them to search not only the file name but the text as well across their entire portfolio at once, which was a tremendous time saver.

Achieving impact.

Soon after they started using Workday contract management solutions, Flaugher’s team immediately saw a difference in processes and efficiencies. The team could now:

  • Utilize time more efficiently. Before adopting the new platform, Flaugher’s team would often click through individual contracts, manually scanning them for information their clients were looking for. Now, with just a click of a button, McKesson employees could use Workday Contract Intelligence to easily pull up the data points and information they needed.
  • Identify and eliminate bottlenecks quickly. Flaugher could more easily track the team’s progress using Workday Contract Lifecycle Management. The platform also helped Flaugher see where work was getting congested and ensure that all the ticket requests from customers were being answered in a timely manner with the right sign-offs.
  • Quantify the results of their work. “In previous years, we didn’t have a way to scorecard the progress that my team was making in terms of the contracting volume,” Flaugher says. With the new platforms’ data and workflow components, Flaugher could quantify the results of the team’s time and work. Flaugher emphasizes the importance of this, noting, “We’ve always struggled with that because they know we do a lot of work behind the scenes, but how do you quantify it?” The ability to scorecard their work and report out to the business how hard the team is working has been “really important for us,” Flaugher says.
  • Provide instant support to customers. With Workday, McKesson developed client-facing solutions, allowing its customers to get the data they needed fast through McKesson’s secure portal. Flaugher explains that the platform “really highlighted a way for me to think about how we differentiate ourselves in the market. How can we use this system to actually have something that is more customer-facing, give it to them at their fingertips within one of our portals?

“I don’t have to stand up another solution that is comparable to it, I can literally use this solution  to  push out a resource that our customers can use,  which will really differentiate us,” Flaugher adds.

Just as importantly, for Flaugher, Workday contract management products allowed the team’s hard work to shine. Flaugher reflects, “As a leader, having a system that makes it easier for my team was a huge aha moment. I’m like, ‘Yes! I can finally remove a barrier.’” The system also helped mitigate risk across the business as team members moved into and out of roles, ensuring the ability to pick up where someone left off.
