Sana for Workday: Your AI workspace inside Workday. Ask questions, surface insights, and take action in plain language—without ever leaving the platform.
Self-Service Agent: Handles common employee requests automatically—so HR spends less time on repetitive tasks and employees get answers instantly.
Who is eligible.
You are eligible for the promotion if:
-
You have signed the Universal Main Subscription Agreement (UMSA).
-
You are currently live in production with Workday HCM or Financials.
This is a limited-time offer for customers who have signed the UMSA and are live in production with Workday HCM or Financials anytime between May 30 and August 31, 2026. If you are currently in deployment and go live at any time during the promotional period, you become eligible.
“In our legacy systems, teams would regularly deal with 4,000+ tickets. About 50% of those tickets have been replaced by self-service task activities in the Workday environment.”
—Head of Employee Experience
How to get started.
Step 1
Between May 30 and June 5, your Workday Security Administrator will receive a notification to set up Sana for Workday.
Step 2
Once Sana for Workday is set up, an Agent System of Record administrator can configure and activate the Self-Service Agent.
You are in control.
Nothing in your environment changes without your action. Your Workday Security Administrator controls whether Sana for Workday and the Self-Service Agent are set up. You can:
- Activate at any point during the promotional window.
- Control agent access in the Agent System of Record.
- Control Sana access in the Sana Workspace.
- Choose not to complete the setup task—nothing activates.
What happens next.
After August 31, nothing gets turned off. Your teams keep using Sana for Workday and the Self-Service Agent—using your Complimentary Flex Credits—with no disruption.
If your use exceeds your complimentary credits, you will go into negative balance. To maintain a positive balance and avoid overage charges, customers are responsible for purchasing additional credits in a timely fashion.
Your Workday account team will work with you to reconcile the balance and secure the credits needed for future use, which will require signing the simplified Workday Flex Credits and Platform Entitlement Policy.
Note: If you use any other agents besides Sana for Workday or Self-Service Agent in your production environment during the promotional period, that use will consume Flex Credits. Non-production tenant use of agents or Sana remains free.
Questions? We have answers.
Why is Workday giving me Sana for Workday and Self-Service Agent?
This is a special action we are taking for customers on the UMSA. We want to make it easier for you to try Workday’s AI agents, starting with Sana for Workday and Self-Service Agent.
How do I set up Sana for Workday and Sana Self-Service Agent?
Work with your Workday Security Administrators to get the process started. Between May 30 and June 5, your Workday Security Administrators will receive a notification to set up Sana for Workday via a “Set Up AI Admin Security Permissions Task.” Then, your administrators can configure and activate the Self-Service Agent in the Agent System of Record.
Your Workday administrators can review these assets in Workday Community to learn more:
When do I receive Complimentary Flex Credits and how do I know how I’m using them?
Between May 30 and June 5, you will receive your Complimentary Flex Credits and the Platform Consumption Console (PCC), which allows you to see your credit usage.
During the promotional period, you will see your usage counts of Sana for Workday and Self-Service Agent, but your Complimentary Flex Credits will not draw down.
Please note that this only applies to the promotional agents. All other agents used in production will draw down credits beginning May 30, 2026.
Use of Complementary Flex Credits is subject to the Complimentary Flex Credit Policy, which is incorporated into the UMSA Product Terms. By registering an Agent in Agent System of Record or configuring Sana, you are subject to the Complimentary Flex Credit Policy.
Will I have access to other agents besides Self-Service Agent?
Beginning May 30, you will have access in your production tenants to all generally available agents enabled by your underlying products. For example, if you have Workday Payroll, you will be able to use Payroll Agent in your production environment beginning May 30.
To get started with agents in production, work with your Workday security administrators to set up the Agent System of Record, where you can manage agents.
All agents used in production will use Flex Credits, with the exception of Sana for Workday and Self-Service Agent during the promotional period.
How many Complimentary Flex Credits will I get?
To get you started, Workday offers an annual allotment of Complimentary Flex Credits based on employee size. Complimentary Flex Credits do not roll over year to year.
With Complimentary Flex Credits, you can test and explore agents and AI innovations in production, and generate real usage data to help you budget with confidence. To learn how many Complimentary Flex Credits you will receive, please see the Complimentary Flex Credit Policy.
Where can I see how many Flex Credits I am using?
The Platform Consumption Console (PCC) is your source of truth for your credit usage. It gives you a clear view of your credit allotment, credit usage and remaining balance. You can also explore detailed metrics that pinpoint which agents or technologies are consuming credits.
Once your administrators have set up the PCC and granted you access, you can find it in Workday by searching for “Platform Consumption Console.”
How will I know if my Flex Credits are about to be or are in the negative?
The PCC provides you with a clear view of your credit usage and balance. PCC admins will receive notifications in Workday when your credit usage reaches 80%, 90%, and 100% of your available credits, but it will not turn off any capabilities when you use all your credits.
What do I need to do if I need to shut off access to agents?
To stop using an agent in production for any reason, you may deactivate that agent in ASOR. To stop using Sana Workspace, you can remove user access.
What happens if I run out of Complimentary Flex Credits? How do I get more Flex Credits if I need to?
To ensure uninterrupted service, we will not immediately suspend your access to agents if you exceed your complimentary credits. However, to maintain a positive balance and avoid overage charges, customers are responsible for purchasing additional credits in a timely fashion. Should an overage occur, your Workday account team will work with you to reconcile the balance and secure the credits needed for future use, which will require signing the simplified Workday Flex Credits and Platform Entitlement Policy.
I’m still in implementation. Does this apply to me?
Yes. Since you have signed the UMSA, your Workday Security Administrators will receive notifications between May 30 and June 5 to set up the Agent System of Record, User Provisioning Workspace, Platform Consumption Console, Sana for Workday and the Self-Service Agent.
If you go live before August 31, 2026, you can use Sana and the Self-Service Agent at no cost until then.
Regardless of your go-live date, you will receive Complimentary Flex Credits to explore available agents in production. Production use of all agents will use credits, with the exception of the Sana for Workday and Self-Service Agent during the promotional period.
I had Flex Credits before this promotion. How does this impact me?
If you have agreed to the UMSA and are live on HCM or Financials during the promotional period, you get free use of Sana for Workday and Self-Service Agent in production.
If you already received your Complimentary Flex Credits when you adopted the Flex Credit model, you will not receive a new allotment of complimentary credits at this time.
I don’t want Sana for Workday or Sana Self-Service Agent. What should I do?
