FAQs.

What is nonprofit financial management software, and how does Workday's solution support UK charities and non-profits?

Nonprofit financial management software is a cloud-based finance system built to handle grant management, fund accounting, restricted and unrestricted income and mission reporting alongside standard accounting. For UK charities and non-profits, Workday goes further by unifying finance, HR, planning and spend on one platform, giving trustees and CFOs a real-time view of income, restricted and unrestricted funds and workforce costs. That single source of truth helps leaders make faster decisions and evidence how every pound is directed to the cause.

The Workday general ledger is multi-dimensional, multi-currency and multi-book, so UK charities can tag every transaction by fund, activity, project and restriction — the building blocks of Charities SORP (FRS 102) reporting on income, expenditure and funds. Continuous accounting keeps the ledger up to date and reduces the preparation burden for Charity Commission annual returns and trustees' reports, while configurable dimensions let finance teams tag Gift Aid–eligible donations so they can be reported and prepared for reclaim through HMRC. Because the ledger is multi-entity, charities running trading subsidiaries or federated structures can report each entity separately and consolidate at group level for the Statement of Financial Activities (SoFA).

Workday Grants Management is a purpose-built module that covers the full grant lifecycle — proposal, award, spend, billing and close-out — on the same platform as the general ledger. Fund types can be configured as unrestricted, restricted or endowment in line with Charities SORP, so donations and grant income are automatically ring-fenced and reported correctly. A Grants Management Dashboard gives administrators live visibility of award balances, indirect cost recovery, sponsor billing and remaining spend against contract end dates.

Yes. Workday connects to CRM, fundraising and donation platforms through open APIs, packaged connectors and integrations (including one for Salesforce) and Enterprise Interface Builder. UK charities commonly integrate fundraising CRMs, online donation platforms, direct debit providers, payroll bureaux and banking partners so donor, supporter and financial data stay in sync without manual re-keying.

Workday supports volunteer, DBS and pro-bono tracking through configuration rather than a packaged module. UK charities typically model volunteers as a distinct worker type in Workday HCM, use custom fields to record DBS status and renewal dates, and capture pro-bono and volunteer hours by programme with Workday Time Tracking or Projects. DBS providers and other third-party checking services are typically connected via Workday's open APIs.

Yes. British Heart Foundation, one of the UK's largest charities, uses Workday to run HR and payroll across its research, retail and fundraising operations. BHF credits Workday with freeing retail employees from admin so they can focus on fundraising for cardiovascular research, and reports employee engagement rising from 67% to 82% and an increase in internal promotions since deployment. UK public body Innovate UK uses Workday HCM, Financial Management and UK Payroll as the bridge between HR and Finance; during the pandemic those efficiencies helped it more than triple grant support to UK businesses with little increase in cost or headcount.
